What's the difference between an ordinary piece of help desk software and one that's known as help desk inventory software?

The answer is that besides the usual features that you get with help desk software, inventory software actually helps to track the hardware and software assets of the Company.

By this definition, we also know that help desk inventory software is more for larger organizations. With more hardware and software assets, and more personnel using them, there's a more urgent need to know what goes where and who does what.

With help desk inventory software, it becomes possible to track and manage assets more effectively. A user can track the location and availability of a piece of hardware or software just by logging into the inventory software. And if he or she needs help with an asset, help is available through the help desk inventory software as well.

The inventory software behaves like an Intranet, and may actually be part of an Intranet of a Corporation. Large Corporations are always looking at managing support, hardware and software from a single login location. But in reality, it's not easy to find a perfect fit for a Corporation with hundreds of employees world wide.

The Corporation has to choose from three options. To develop their own in-house solution, to buy a ready made solution, or to subscribe to a ready made software solution on a SAAS (Software as a Service) model.

The first option may be time consuming and very costly. The right people (i.e. people with the right skillset) must be available to develop the software. There are also maintenance issues. However, it gives the Corporation a large degree of control over the features.

The second option is to search for a ready made solution that best suits the needs of the Corporation. This may not be a perfect fit but it's certainly much more cost effective and the solution is instantly available.

And final, the third option gives the Corporation a lot of flexibility, since it only has to subscribe to the modules that it needs on demand. There are many advantages to the SAAS model but it's beyond the scope of this article.

The second and third options may face integration issues, since the help desk inventory software is developed by third party software vendors. However, despite the drawbacks, these two options remain very attractive because of the immense cost savings. Plus, the fact that Corporations can activate these services any time make these two options really stand out.

With help desk inventory software, it becomes possible to track and manage assets more effectively.

Unless the Corporation is deeply involved with software and technology, it appears that the second and third option may be the most logical business decisions. And that's exactly what many large Corporations are doing. There's no upfront investment, and if they don't like what the help desk inventory software does for them, they can always switch to another competitor.

In fact, SAAS vendors are well aware of the competition, and many have developed tools to easily port data across from their competitor's software.

What this means for the Corporation is that there's very little risk to adopt and deploy help desk inventory software. It may then focus its attention and resources on training the staff to use the software.
